Start with sponsor fit before building the deck
The fastest way to waste outreach is to contact brands whose customers, geography, budget or objectives do not match your audience. Before designing a media kit, define the people you can genuinely reach, where they are, what they care about and what type of sponsor outcome your event can support.
Build evidence for your audience
Sponsors do not need perfect data, but they need credible evidence. Use registration history, ticket sales, verified social analytics, previous attendance, email list size or partner data. Separate verified metrics from estimates and label the source.
Turn benefits into standard sponsorship packages
Avoid a package that is only a list of logo placements. Combine visibility with audience activation and measurable actions. For example, a title package may include naming rights, stage branding, a booth, three social integrations, a QR activation and a post-event report. Each item should have a measurable deliverable.
Price the package around value and delivery cost
There is no universal sponsorship price in Malaysia. Consider the size and specificity of the audience, exclusivity, production cost, category demand, comparable past deals and the amount of work required to deliver each benefit. Keep enough margin to execute properly.
Write outreach around relevance
A first message should explain why the sponsor is relevant, the audience, the proposed activation and the next step. Avoid sending a generic twenty-page PDF to every company. A smaller shortlist with a specific reason for each brand usually produces better conversations.
Make delivery measurable before the sponsor says yes
Agree on deliverables, evidence and timing before signature. Define what counts as delivered: number of posts, placement duration, booth size, speaking time, QR scans, coupon redemptions or other observable criteria. This reduces disputes later.
Report outcomes, not only exposure
After the activation, summarize what was delivered and what the audience did. Useful metrics include attendance, impressions, clicks, redemptions, leads, purchases and attributed revenue where measurement is possible. The report is also the beginning of the next sponsorship conversation.
